We’ve always told our clients the best time to negotiate is when you have time on your side. Especially when you want to get better rates and terms or change vendors. We like starting negotiations about two years before your contract is due. That gives us time to send out RFPs, review candidates, give them trial problems to solve and narrow down the field. Taking the time to do it right lets your current vendor know we mean business and have a competitor waiting in the wings.
At the same time, we review your current contract, and if there’s any funny business, we not only point it out, but, depending on the problem, we do our best to correct it under your present contract.
For example, a vendor was overpricing one of our clients and the institution had been trying unsuccessfully to get a refund. We were able to get the vendor to repay the client for fee gouging and saved them big time. We can’t do this every time, but we certainly know where the hidden traps are, how much you’re overpaying, and how to make sure the vendor lives up to its agreement.
